The University is a high-level training centre made up of multifunctional facilities and 16 teaching departments that have earned it the first place in the Censis ranking of the best Italian universities several times. With over 23,500 students, the facility includes foundations and health institutes.
The real estate portfolio includes 26 university centres, 190 buildings, over 480 cadastral appurtenances and 400,000 m².
The requirements
The university has an extremely vast estate and substantial capital assets, but the organisational structure in charge of management is limited. All the technical activities related to the management of the assets are delegated to external Global Services companies, the internal staff is therefore obliged to supervise and coordinate the services provided.
The organisation needed both to improve the knowledge of its assets through an accurate mapping of managed assets, and to optimise operational processes to ensure greater control over the activities carried out by service providers.
The solution
Geoweb developed a complete and modular solution for asset management the deployment of which took place in two phases:
- Phase 1: platform dedicated to maintaining the technical and asset data of the entire university and extremely accurate mapping of buildings (Property Management) of spaces and workstations (Space Management). Including a customised GIS module (based on the Enterprise GeoExplorer component) to manage, on a geographical map, the land cadastral data of the assets and of the numerous plots of land that make up the + 400 pieces of land managed on a GIS basis of the entity’s assets.
- Phase 2: a management system for non-routine work requests has been implemented, with the possibility of dispatching directly to the Global Services, who can access the system to report on the activities and be authorised to invoice the interventions carried out.
